Accountant – Expenditures, Prepaids, and Fixed Assets

PURPOSE OF POSITION: Applies principles of accounting to analyze financial information, prepare support schedules, and account reconciliations utilizing appropriate accounting control procedures. Interfaces with all levels of RCMA staff working closely with their departments to collect appropriate information for preparing schedules for financial statement preparation and analysis.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following; however, other duties may be assigned:

  1. Prepares and maintains balance sheet schedules and bank reconciliations.
  2. Prepares monthly closing and cost accounting reports, including subsidiary ledgers and audit schedules.
  3. Reviews the classification and distribution of expenditures to proper accounts. Reviews findings and suggests remediations to the A/P supervisor.
  4. Reviews and analyzes general ledger for accuracy and prepares to adjust entries in accordance with RCMA’s cost allocation plan and funding source requirements.
  5. Maintains and coordinates established accounting and internal control procedures.
  6. Verifies contract payments are appropriately classified.
  7. Analyzes and reviews journal entries and expenditures ensuring appropriate classification to funding sources.
  8. Reviews and analyzes budget versus actual expenses, payroll entries, invoices, and other accounting documents for accuracy and completeness.
  9. Prepares amortization schedule, journal entries for fixed assets, depreciation prepaid insurance, and other prepaid contracts.
  10. Analyzes expenditure trends and recommends appropriate actions to ensure expenditures stay within budgeted constraints.
  11. Maintains financial databases, computer software systems, and automated filing systems.
  12. Assists Accounting Manager and Controller with month-end close deliverables and year-end audit deliverables with strict attention to deliverable deadlines.
  13. Examines, analyzes, and verifies fiscal documents such as vouchers, warrants, purchase orders, receiving records, and invoices.
  14. Maintains fixed asset records and computerized data.
  15. Analyzes and reviews RCMA’s cost allocation plan and ensure the plan is applied to account activity.
  16. Assists the Director of Facilities with the coordination of building and playground improvements.

MANDATORY QUALIFICATION REQUIREMENTS: To perform this job successfully, an individual must be able to perform each essential duty element satisfactorily while exercising independent judgment and discretion under the general supervision of the Accounting Manager.  The requirements listed below are representative of the knowledge, skill, and/or ability required. REQUIRED EDUCATION, SKILLS, AND EXPERIENCE:

  • Bachelor’s degree in Accounting with a combination of at least 5-7 years of relevant work experience.
  • Knowledge of finance, accounting, budgeting, and cost control principles including Generally Accepted Accounting Principles.
  • Knowledge of financial and accounting software applications. Ability to analyze financial data and prepare financial reports, statements, and projections. Proficiency with ten key calculators and computers.

OTHER REQUIREMENTS: Must be 21 years of age or older. Able to work flexible hours, occasional evenings, and varying daytime shifts during weekdays. Some weekend work is required, especially at year-end and during reporting deadlines. Must have or be able to obtain a Florida driver’s license and have a driving record acceptable to RCMA’s insurance carrier. Ability to work well with volunteers and the community.
