PURPOSE OF POSITION: As part of the Office Manager’s team, ensures efficient and effective office operations while providing prompt and courteous customer service to all. Provides administrative and clerical support to the Rollason Office Manager and to its members of the Rollason State Office.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following; however, other duties may be assigned.

  1. Visitor Interaction: Greets visitors and assists them in locating office staff, facilities, and resources.
  2. Office Equipment: Operates office equipment, such as a computer, word processor, and telephone system.
  3. Communication Management: Answers telephones and intercoms, takes messages, responds to inquiries, and provides directions.
  4. Facility Scheduling: Schedules community spaces such as the Boardroom or Classroom according to established policies and procedures.
  5. Clerical Support: Provides clerical support to the management team and statewide support staff, including tasks such as typing, document formatting, copying, collating, filing, label production, and mail processing.
  6. Directory Maintenance: Maintains current location directories and ensures an adequate supply of mailing labels and envelopes.
  7. Supply Management: Ensures that office supplies are properly ordered, stocked, and maintained.
  8. Mail Handling: Ensures correct delivery of incoming mail and packages while managing outgoing mail effectively.
  9. Office Cleanliness: Maintains cleanliness and orderliness in office spaces and production/supply areas.
  10. Equipment Oversight: Ensures that all mailroom equipment (e.g., copiers, printers, and laminators) operates correctly.
  11. Financial Record Keeping: Completes a daily money log accurately and completely.
  12. Facility Operations: Assists in opening and/or closing the facility at the beginning or end of each day.
  13. Data Entry Responsibilities: Manages Go Engage data entry related to the Rollason Office and statewide support staff, including new hires, position changes, termination dates, education, and training information.
  14. Data Analysis: Analyzes Go Engage data and generates reports to identify invalid or missing data.
  15. Meetings: Gathers meeting materials, prepares agendas, and types minutes.
  16. Security: Implements safeguards to maintain data accuracy, integrity, and security.

These duties highlight the multifaceted role of an Office Specialist, who ensures efficient office operations while providing essential support to the Rollason Office Manager, staff, and visitors.

MANDATORY QUALIFICATION REQUIREMENTS: To perform this job successfully, an individual must be able to perform each essential duty element satisfactorily while exercising independent judgment and discretion under the general supervision of the Office Manager. The requirements below represent the required knowledge, skill, and/or ability. The individual must meet age, medical, moral character, and any other requirements defined by Florida Statutes.

EDUCATION AND EXPERIENCE: A High School diploma or GED is mandatory. One year of experience working in an office emphasizing document and resource production. Must type a minimum of 30 words per minute.  Must demonstrate high competence in utilizing Microsoft Word, Excel, PowerPoint, and Outlook software.
